Meetings and Calendar

Every member can view their group's meetings. Only group managers and organizers (and organization managers) can create, edit or delete meetings and update attendance. Meeting information is visible to the public unless the group is set to Private.

Create a Meeting

Go to your group, click Meetings in the group menu, and click Add New. You can also switch the Meetings page to the Calendar view and click an empty day to create a meeting on that date.

You can create a meeting before it happens, or afterwards to record what happened.

  • Title
  • Date & Time: in the group's time zone (see Time Zones)
  • Meeting type: Recurring meeting (the default) or One-time event, such as a happy hour
  • Speakers: one or more members who presented
  • Meeting Location
  • Meeting Link: an online meeting link such as Zoom or Teams
  • Description: what the meeting is about. It is shown to guests.
  • Meeting notes: private, visible only to group members
  • Image: JPEG or PNG up to 10MB

{warning} One-time events are not counted in the Attendance Report, because they are usually optional. If attendance numbers look wrong, check that each meeting has the correct Meeting type.

Meeting Page

Click a meeting to open it. The tabs are Details, Member Attendance, Guest Attendance, RSVPs and Files.

The Menu button offers:

  • Manage member attendance and Add guest attendance
  • Edit and Delete
  • Add to calendar: downloads a calendar file you can open in Google, Outlook or Apple Calendar
  • Go to public page
  • Create new meeting

You can upload files to a meeting, such as a speaker's slides. Meeting files also appear in the group's Files.

Update Attendance

Open the meeting and choose Menu > Manage member attendance. Each member has four boxes:

  • Attended
  • Substitute: the member sent someone in their place
  • Excused
  • Late

Members with no box ticked are counted as absent. Tick the box at the top of the Attended column to mark everyone as attended.

  • Substitute and Late count as attended.
  • Excused does not count against the member in the Attendance Report.

The list shows the members of the group on the meeting date, so past meetings show the people who were members at that time (former members are labelled). If someone joined after the meeting but actually attended, open Show current members who joined after this meeting and tick them. Their group join date is moved back to the meeting date.

Guest Attendance

To record that a guest attended, open the meeting and choose Menu > Add guest attendance, or use + > Add Guest Attendance from the top header. Select the group, the meeting and the guest. You can type a new name to create a new guest, and choose which member Invited by so they get credit.

See Guests for more.

Recurring Meetings

Instead of creating every meeting by hand, you can have meetings created automatically. Go to Group Settings > Meetings and fill in Recurring Meeting Setup:

  • Meeting Frequency: Weekly, Biweekly or Monthly
  • Starting on: for biweekly meetings, whether you start on the first or second week of the month
  • Meeting Day and Meeting Time
  • Location
  • Automatically generate future meetings: how many future meetings to keep ready. 0 means meetings are created manually.
  • Skip meetings and Do not create a meeting on the 5th week: to leave out dates you do not meet

For example, with Biweekly, Second week, Tuesday, 9:30am and 4 future meetings, ChamberForge checks every night and makes sure the next 4 Tuesday meetings always exist. You can also click Generate Meetings to create them right away.

{info} Recurring meeting setup and Generate Meetings require a paid group plan. Free groups can still create meetings one by one. See Plans and Billing.

Meeting Reminders

Members receive a reminder e-mail one day before each meeting. Members can turn this off for themselves under Notification Settings.

Reminder e-mails are only sent for groups with an active subscription. Free groups see "Reminder e-mails are paused while this group has no active subscription."

Meeting Public Page and RSVPs

Every meeting has a public page where members and guests can RSVP. Open the meeting and choose Menu > Go to public page, or find the meeting on your group's public page. RSVPs appear on the meeting's RSVPs tab, and group organizers are notified when someone RSVPs.

If your group is Private, meeting pages are only visible to members.

Time Zones

Meeting times are stored and shown in the group's time zone. When a member in another time zone views the meeting, ChamberForge shows the group's local time so there is no confusion.

Set your own time zone in My Account.

My Calendar

Calendar in the left menu shows the meetings of all your groups and your 1-to-1s in one place, in your own time zone. When your time zone differs from a group's, the group's local time is shown as well. A day with many events shows the first three and a count of the rest.

To see your ChamberForge schedule in Google Calendar, Outlook or Apple Calendar, click Subscribe and add the private link to your calendar app.

{warning} Anyone with your calendar link can see your schedule. If the link was shared by mistake, click Reset link to turn off the old link and get a new one.

Each group also has its own calendar view on its Meetings page.
