Tracking Speaker and Setting up Recurring Meetings

We just released ChamberForge web application v2.4.4. This update brings a number of enhancements to how meetings are managed.

Keynote Speaker You can now track keynote speaker when you create meetings. When creating a new meeting, simply select keynote speaker if you have one. For now, it will be limited to a member from your group.

Meeting Time & Location

We’ve also added time and location for meetings. Please make sure to set time for your meetings. This will be used for reminding members on upcoming meetings as well as allowing guests to RSVP to your meetings in future.

Location is also new. You can choose location for your meeting. It uses Google Maps API so you can search by place name as well as physical address. Location field is optional so you can leave it blank if you don’t want to add location.

Recurring Meetings

Some users were telling us that they had to manually create future meeting entries and it was cumbersome work. So we added this feature to make it easier to create future meetings. Simply go to your group Settings page, go to the Meetings tab, and specify how many meetings will be automatically created. It’s set to 0 by default, meaning you have to create meetings manually. If it is set to a number, then the system will automatically create meetings for you.

For example, if you set this value to 4, the system will automatically create 4 meetings in future. The system runs this process everyday so there will always be 4 future meetings already created for you. Put simply, if you are tired of having to manually create meeting entries, simple provide a value here and you will never have to create meeting manually.

Recurring meetings

Let’s say that your group meets bi-weekly on first and third Wednesday at 1pm and today’s date is 8/18. If you set 4 for the “Automatically generate future meetings” value, the system will automatically create following meetings for you:

1pm 8/21 1pm 9/4 1pm 9/18 1pm 10/2 If there already is a meeting created for 1pm on 9/4, the system will not create another meeting. However, if there is a meeting at 10am on 9/4, it will create a meeting for 1pm 9/4.
